virtual programming faq

How do your virtual assemblies work?

Our engaging and interactive assemblies are a hybrid of live, real-time interaction with our MC and professionally recorded dance footage. The event is run by (2) experienced Calpulli staff members- an MC and a technical manager. The MC's focus is to be the "face" of Calpulli for the event by engaging the students in fun activities,  giving educational content,  and presenting the dances that they are about to see. The tech manager is the "man (or woman) behind the curtain", so to speak. They will turn their video off and mute themselves and will check/set the Zoom settings beforehand, be monitoring the chat for questions, and screen share when it comes time to watch the performance. They will also filter the questions during Q&A sessions. It is important that the tech manager be made the co-host for a smooth experience! (Also, the MC must be a co-host so that they can unmute themselves at will!)

Can the school use their videoconferencing account instead of calpulli's?

YES! We would just need to join 15-20 minutes beforehand and be given co-hosting & screen sharing capabilities before letting in the participants. 

How many attendees can join calpulli's zoom?

We can offer for audiences as large as your heart desires! Our virtual assemblies come standard for audiences up to 100 Zoom attendees. A surcharge of $50 for audiences between 100-500 attendees and $100 for 500-1,000 attendees applies. Larger capacity available upon request.

how early should we join the zoom?

We are fully available to coordinate details beforehand via email. In general, we use the following guidelines:


If using the Calpulli account, school administrators are welcome to join the call up to 15 minutes early while we set up. This is a good time to check in and coordinate/confirm any introductions, etc. Just let us know ahead of time! Students who join the call early will be let in from the waiting room at showtime, so let us know your Zoom name if you're admin! 


If we are using the school's videoconferencing account, we ask that you let us into the call 15-20 minutes before to set up the Zoom call and check that everything is in order before letting in your attendees. Please note you will be letting in (2) Calpulli staff members. We will give you the names ahead of time via email.



What are the videoconferencing settings that you require?

Every school is different, but for most large assemblies, we set the chat to go to "host only", mute all participants, and disable annotation. It is great if students can have their camera on so we can interact with each other!

do you record the zoom?

No. We value student and staff privacy and do not take photos or video without express permission.

Can we introduce you or make a quick announcement before or after your event?

Of course! Just let us know who would like to make the announcement and when, and we'll be sure to adjust accordingly.
